An organization´s conference room is not only where meetings take place, but a room of opportunities and where important decisions are made. One should think about a conference room as a sanctuary where ideas and creativity can flourish.

A proper AV system for a meeting or conference room needs to be intuitive, easy to use, allow information sharing, encourage participation and communication.

An excellent conference room needs to have a good design, comfortable furniture, good lighting and acoustics, the right size and the proper settings for attendants to feel comfortable and to enhance teamwork.

Meeting participants not only need a space in which to collaborate, but the right equipment as well. According to “productivemeetings.com”: “Leather chairs and polished boardroom tables are no longer enough to furnish a boardroom; meeting room tools are essential to create a fully functional work space”.

The right technology can make all the difference in productivity and efficiency.

Here you have some tips that can help when conceiving an excellent meeting and conference room:

Think in the technology needed to encourage participants to exchange ideas, share information, enhance creativity and the generation of brilliant ideas

You don’t want ugly wires sticking out of your table ends or behind the screen and there is no need for the technology to be intrusive. Why should technology be in your way at not at your side? Technology can be beautiful and can become a part of the interior design; it should help participants to collaborate, review, asses and brainstorm effectively.

Integrating technology such as retractable or foldable in‐table monitors, video and audio conferencing assures that your business will be equipped for any situation. If creating a collaborative environment is the key to having a successful meeting, to provide access to cutting edge non‐intrusive technology is a must.

Think about what presentation sources you would need and what type of personal devices will other attendees bring with them

September, 04 201567
Presentation requirements have changed today from replying solely upon furnished AV sources to the need to support BYOD, as participants will bring their own devices to the meeting and will have the need to display and share this information. In a functional meeting room, presentation sources may be located in an equipment rack as well as in the conference table itself.

ARTHUR HOLM DynamicShare is an excellent solution for signal sharing and distribution. It is a HDMI signal selection and distribution system, integrating control of Arthur Holm products.
A Dynamic Share system consists on a set of Arthur Holm monitors connected in a HDMI closed daisy chain loop, so that any user can send a HDMI signal to all other participants, and to other large displays or projectors which might be in the meeting room, or display their own local sources in the monitor without interfering the shared signal in other monitors. Signals for controlling the monitors are embedded into the HDMI signal, so there is no need to have an additional control cabling.

Meeting attendants have the possibility to share their information in a secure and easy way.

Think in enhancing focus and concentration

September, 04 20158
The decor and layout of the conference room must be able to help attendees develop a sense of purpose and focus while providing a friendly atmosphere and while making sure that they have all the information they need to take the best decisions. Providing one screen in front of each participant will avoid people turning heads and will increase concentration. Furthermore, a touch screen will allow interactivity. Design the conference rooms so attendees have all the technology they need, without having to leave the room once the meeting has started.

Think in designing a versatile and flexible space. Transform a four‐walled space into a vibrant and dynamic zone
Meeting and conference spaces shouldn’t be restricted only for employees. Meetings with partners, suppliers and customers can be held in the comfort and privacy of a conference room.
Especially in small businesses, the conference room usually has multiple uses; it could be a formal setting for board meetings or presentations to customers or it could be used for brainstorming sessions and it could also be used for social functions as well, hosting birthday parties or other celebratory events. The use or retractable technology will permit the space optimization and will provide a totally flexible table, which could be used for multiple purposes.

Think in designing your conference room to reflect your company’s image
Branding the work environment and understanding the culture creates an identity. You might have people from outside your company or you might invite people to participate though videoconferencing. Either way, the design and décor of the room will influence how they view your company.

It is very simple, the better you communicate; the better is going to be your bottom line at the end of the day.

So, how do you design your conference or meeting space to reflect your company’s image and what your business stands for?
